Business travellers with luggage beside a car; archive illustration.

Your conference badge may fit in a pocket; the materials for your stand may not. A poster tube, a demonstration case and boxes of brochures can turn a straightforward business transfer into a journey that needs a handover plan. Before booking a car in Tallinn, decide what will travel with you, who will receive it at the venue and when you will actually be ready to leave after the event.

This guide concerns passengers travelling with event materials. It does not describe a freight, storage or exhibition-installation service. Large consignments, unaccompanied deliveries and specialist handling should be discussed through the organiser’s logistics arrangements rather than assumed to be included in a passenger transfer.

Make an item list that another person can understand

Describe the packed items, not only what they contain. “A presentation kit” could mean a laptop bag or several rigid cases. List the number of pieces, external dimensions, approximate weight and whether anything must stay upright or cannot have other bags placed on it. Include your ordinary luggage and the complete passenger count.

For example, an illustrative list might read: two delegates, two suitcases, one rigid demonstration case and one poster tube. Add measurements for the unusual items. A photograph helps show their shape, but it does not replace dimensions. Ask the operator to confirm the proposed vehicle against that exact list; do not treat a seat count or a vehicle-class name as a loading plan.

Confirm the venue handover before the car arrives

Ask the organiser who receives your materials, at which entrance and during what time window. A visitor entrance is not automatically an approved unloading point. Send the agreed instructions to the transport operator and keep the receiver’s phone number accessible. If your contact is inside setting up a stand, name a backup who can meet you.

Use the venue’s official channels to resolve unclear instructions. For a Kultuurikatel event, for instance, the official contact page lists event and technical contacts. That is a starting point for checking arrangements, not permission to drive into a service area. Tell the operator about any access approval or allocated unloading slot that the organiser requires.

Schedule for setup, not just the programme start

If you must unpack, register or test a presentation before the first session, work backwards from that task’s deadline. Allow for the drive, unloading and the handover to venue staff. Ask separately who carries cases beyond the agreed vehicle drop-off point; a passenger transfer should not silently become delivery to an upstairs stand.

When flying, check your airline’s rules before deciding which materials to carry. Tallinn Airport’s baggage guidance notes that baggage allowances and dimensions vary by airline. Airline acceptance and the fit in a road vehicle are separate checks. If an item does not arrive with your flight, update the transport plan instead of keeping a car waiting while a separate delivery is arranged.

Plan where the cases will be during the event

Agree storage or custody with your hotel, organiser or venue as appropriate. Do not assume luggage can remain in the transfer vehicle while you attend a full conference day. If you need the vehicle to stay available, describe the hours and itinerary and ask for a separate confirmed arrangement.

Keep a simple piece count for each handover. Identify cases with a useful contact label and tell the person receiving them if anything must be kept upright. For valuable or fragile contents, ask what handling is actually offered and arrange any specialist support you require. Do not infer protection or cover from the vehicle’s premium appearance.

Book the return around packing and release

The last talk finishing does not mean your stand is packed. Set the return pickup for the time you expect to be ready with the cases, after any organiser restrictions on dismantling. Tell the operator if the return load differs from the arrival load, or if you will collect personal luggage from a hotel on the way.

Send one brief: date, flight if relevant, passengers, packed item list, pickup and venue addresses, receiving contact, setup deadline, return readiness and any hotel stop. Request a quotation explaining the vehicle, agreed assistance, waiting and extra stops. Start with the IMS Transfer enquiry page; a calculator estimate alone does not confirm unusual equipment, storage, handling or the full event itinerary.
