You have checked out of your Old Town hotel, your bags are ready and the driver has arrived. Yet you cannot see each other. The problem may be neither a late car nor a wrong booking: you may simply be waiting at different entrances. For a transfer from Tallinn’s historic centre, the final meeting instructions deserve as much attention as the departure time.

The hotel address, the door you use and the place where a vehicle can stop are three separate details. Agree them before the trip, especially if you have several suitcases, children or difficulty walking. This guide explains how to turn an address into a practical pickup plan without assuming that every hotel door is reachable by car.

Confirm the entrance rather than only the hotel name

Send the hotel’s full name and street address as shown in your reservation. Then ask reception which entrance is recommended for an arranged vehicle pickup. A booking address or a map pin may identify the building without identifying the door where your group will wait.

A useful real example is Meriton Old Town Garden Hotel: Visit Tallinn lists entrances from both Pikk and Lai streets. That does not establish that a transfer vehicle can stop at either door on your date. It illustrates why an agreed street and entrance are more precise than the hotel name alone.

Check the last part of the journey on foot

Visit Tallinn’s accessibility guidance notes cobbled streets, high kerbs and limited taxi access in the Old Town. A short line on a map is therefore not enough to judge how easy it will be to reach a car with luggage.

Ask whether the agreed meeting point involves steps, an uneven surface or a walk from reception. Describe what matters for your group: a stroller, a walking aid, heavy bags or the need to avoid stairs. Request confirmation of the actual arrangement. Do not assume that an accessible vehicle, a ramp or assistance at the hotel has been arranged unless it is explicitly confirmed.

Let the driver confirm a suitable stopping point

Street access and the ability to stop are not the same thing. The pickup must follow the signs and conditions in place at the time. Reception can explain the usual arrangement, while the transfer operator can check what is workable for the agreed vehicle. A suggested entrance is not permission to stop wherever convenient.

If a nearby meeting point is required, get its exact address or recognisable landmark and clarify the walking route from the hotel. For a larger group, agree one meeting point for everybody rather than sending passengers to separate corners. Tell the operator about all bags before the vehicle is confirmed.

Write one clear meeting message

Keep the confirmed plan in a message that both sides can refer to. Include the date, pickup time, hotel, entrance or meeting point, passenger and luggage count, and a contact number that will work in Estonia. Distinguish the transfer pickup time from the flight or ferry departure time.

A practical template is: “Pickup from [hotel], [street and entrance], at [time]. We are [number] passengers with [bags]. Please confirm the stopping point and whether we should wait inside or outside.” This is a request for confirmation, not a completed booking. Save the operator’s reply and give reception the same instructions.

Allow for checkout and changes to the meeting point

Finish checkout and collect stored luggage before the agreed pickup. If someone is still returning a room key or collecting a suitcase, let the driver know rather than assuming loading has begun. Confirm any required assistance in advance.

If you cannot find the car, stay at the confirmed point and contact the driver or operator. Share the street name and a nearby sign; move only after agreeing a new location. This avoids two people searching for each other while following different map pins.

Use the quick calculator and transfer request page for an estimate and to describe the entrance in your request. For a departure flight, also see our Tallinn Airport transfer information. The estimate does not replace confirmation of the meeting point, vehicle, availability or final price.
